Simple timesheet design for ease of use

Design a new paper timesheet or use your existing templates – the choice is yours.

You can start with a blank page and design an employee timesheet (or agency timesheet) using the intuitive drag-and-drop form designer, adding fields and labels as you go.

Design elements, such as logos, borders, headers and font styles can all be added to make the timesheet design follow your corporate branding. If you prefer, you can scan in an existing timesheet template and overlay the structure on top to allow the system to capture your existing timesheet design as well as new forms.

Powerful features allow you to create data entry fields to capture data from paper timesheets, perform lookups, enforce data validation rules, and set up automatic exports. You can define image zones, pre-fill fields and set up automatic page linking.

Form merging and distribution

  • Printing sequential tracking numbers or barcodes on forms to track forms sent to and returned by employees and/or agency workers
  • Adding a barcode to multi-page timesheets to link them together, even if pages become mixed up
  • Personalise timesheets with relevant information e.g. employee/agency name, number, and department

Once the data has been merged, the timesheets are automatically faxed, eMailed, or printed for distribution to agency workers/employees.

How to optimise paper timesheets for scanning

A structured timesheet template improves the processing of the scanned document, reduces manual intervention, and increases capture rates.

The phrase structured form template refers to the consistency of objects on a template. Most templates are highly structured with form ID blocks and data entry fields are in the same place on every copy of the form. For example, one “timesheet” will have the same structure as every other “timesheet”, even though the data entry fields contain different values.

Constrained print fields

Handwriting is most effectively read by ICR (Intelligent Character Recognition) technology when it is laid out in a constrained print field, with one character per box.

Form designers can add a constrained print field to gather data such as names, dates, and numeric figures. The boxes act as guides for the person filling out the form, with one dedicated space for each letter, number or character in the response.

Barcodes

eTimesaver can recognise all standard barcode types, including 2D matrix barcodes. These can be added to your form to identify respondents.

Form identification block

Form identification blocks help with page rotation (where the sheet is scanned upside down) and timesheet identification for reconciliation. It will also help with version control should future versions of the form need to be used in parallel with older but very similar forms.

Signature field

eTimesaver allows you to add a signature field to checks forms have been authorised.

The software will calculate the fill percentage of the field to determine whether it was signed or not. Signature fields will be extracted and stored as an image.

Once form templates are created, information from a database e.g. personal information may need to be merged with data entry fields on the form prior to distribution via PDF, print, fax or eMail.
